Physiotherapy Practice Management Software India: 2026 Buyer's Guide

Physiotherapy practice management software is the system your whole clinic runs on: the diary, the patient file, the bills, the reminders and the staff. This guide is for the physio or clinic owner in India who is buying it for the first time, or who has outgrown what they use now. It explains what the software should do, what it should cost, which questions to ask, and the mistakes that cost clinics months.

First, know your own clinic

Before you look at a single product, write down a normal week in your clinic. It takes ten minutes and saves you from buying the wrong thing.

  • How many physiotherapists, and how many front desk or admin staff?
  • One centre, or more than one branch?
  • How many new patients a week, and how many follow-ups?
  • How many patients buy a package of sessions?
  • Do you do home visits, group classes or video sessions?
  • Are you GST-registered? Do you sell braces, tapes or supports?
  • How do patients pay: cash, UPI, card, Mediclaim?
  • Where are your records today: a register, Excel, or other software?

Keep this list next to you during every demo. A product that looks good but does not fit your week will be a daily irritation.

The core features, and what "good" looks like

Appointments and the diary

You want every physio side by side, by day and week, with drag to move and a clear view of who has arrived. Repeat bookings should be checked for clashes before they are saved, and the diary should refuse a booking when the clinic is closed. Read our guide to appointment scheduling for physiotherapy clinics for the details that matter.

Online booking

A booking link for your clinic that patients can open from Google, Instagram or WhatsApp, offering only times you are really free. See online booking for physiotherapy clinics.

Treatment notes and the patient record

This is where physio software is most different from doctors' clinic software. Look for note templates for assessment and follow-up, body charts you can mark, cases for each problem, goals, outcome measures and discharge summaries. Notes should save themselves as you type, and lock once you sign them, so the record can be trusted later. See physiotherapy EMR and treatment notes.

Billing, GST and payments

In India, billing has to be right the first time. Check that the software:

  • prints your GSTIN, and uses a bill of supply for GST-exempt treatment;
  • charges GST only on taxable items, with HSN and SAC codes;
  • takes cash, UPI and card on one bill, including part payments;
  • corrects a mistake with a credit note rather than quietly editing an old bill;
  • balances the day end by payment method.

Our guide to GST billing for physiotherapy clinics explains each of these.

Packages

Indian physio clinics sell a lot of packages: ten sessions for a knee, twenty for a post-operative shoulder. The software must count down the sessions automatically, show what is left on the patient's file, and stop the front desk from charging a package patient twice. See treatment packages and prepaid sessions.

Reminders

No-shows are lost income. WhatsApp reminders are the most effective channel in India, with email for patients who prefer it. See WhatsApp appointment reminders and how to reduce no-shows.

Staff, stock and reports

Attendance and leave for your team, stock for what you sell at the counter, and reports that show revenue, visits and each physio's numbers. See clinic reports, staff attendance and leave and stock and retail.

What to pay

In 2026, published prices for physiotherapy software in India range from free plans to around ₹12,000 a month. Most physio-only products for a small clinic cost ₹500 to ₹1,000 a month. Watch for these costs on top of the headline price:

  • Per-user charges that make your front desk staff cost the same as a physio.
  • Extra fees for WhatsApp messages, online booking, or a second branch.
  • Setup or migration charges.
  • Payment gateway fees on UPI collections.

Clinidiary is free for six months, then ₹300 a month for each physiotherapist (₹250 paid yearly), plus GST. Owners, managers and front desk staff are free, and there is no extra charge for WhatsApp reminders, online booking or branches. UPI QR codes use your own UPI ID, so payments go straight to your bank with no gateway fee. More in how much physiotherapy software costs in India.

Twelve questions to ask any vendor

  1. Can I see a sample bill with my GSTIN, a bill of supply for treatment, and GST on a product?
  2. How are UPI payments recorded, and does the money come straight to my bank?
  3. How do packages work, and what happens if a package patient misses a session?
  4. How are WhatsApp reminders sent, and is there a charge per message?
  5. Can a receptionist open clinical notes? (The right answer is no.)
  6. Do notes lock once signed, and how do I correct one?
  7. Where is my data stored, and is it in India?
  8. Can I export all my data, myself, whenever I want?
  9. How does it work across two branches?
  10. What happens to my data if I stop paying?
  11. How long is the free trial, and does it include every feature?
  12. Who helps me set up, and is support extra?

Mistakes clinics make

  • Choosing on the demo, not on a real week. A demo is the vendor's best day. Use the free trial to run your own patients through it.
  • Buying a hospital system for a clinic. Software made for wards and pharmacies makes a physio clinic pay for complexity it never uses.
  • Ignoring the money side. A beautiful diary with weak billing means month-end in Excel again.
  • Forgetting the front desk. Your receptionist uses the software more than anyone. Let them try it before you decide.
  • Not checking how to leave. If you cannot export your data yourself, you are locked in.

Moving in without stopping the clinic

Most clinics move over a weekend. Export patients from your current software or Excel, load them in, set up your services and prices, and start booking on Monday. Our guide to moving your physio clinic from paper or Excel has the steps. If you are opening a new clinic, start with our software checklist for a new physiotherapy clinic in India.

Frequently asked questions

What is physiotherapy practice management software?

It is software that runs a physio clinic: appointments, patient records and treatment notes, billing and payments, reminders, staff and reports, in one system.

Do I need practice management software for a small clinic?

If you see more than a few patients a day, yes. It saves the time spent on registers and Excel, cuts no-shows with reminders, and keeps your bills and notes in order for audits and insurance.

How long does it take to set up?

Most small clinics are ready in a day. Add your services and prices, your staff, your opening hours, and import your patient list.

Is cloud software safe for patient records?

Good cloud software is usually safer than a register or a computer in the clinic: encrypted connections, backups, two-factor sign-in and an audit trail. Ask where the data is stored. Clinidiary's Indian data is hosted in Mumbai.

What should a physio clinic in India pay for software?

For a small physio-only clinic, ₹500 to ₹1,000 a month is common. Clinidiary is ₹300 per physio a month after six free months, with admin staff free.
