Staff Attendance, Leave and Timesheets for Physiotherapy Clinics

A physio clinic is a team: physios, an assistant, a receptionist, maybe a manager and someone who cleans. Attendance on a register, leave on WhatsApp and salary worked out on a calculator at the end of the month is how many clinics run. It works until there is a disagreement about how many days someone took off. This guide explains how attendance, leave and timesheets work in Clinidiary, in the same place as your diary.

Clock on and off from any device

Every staff member opens My time and clocks on when they arrive and off when they leave, from the clinic computer or their own phone. The times are recorded against their name, and a manager can see who is in.

Leave, asked for and approved

Staff request leave from My time: the dates and the type. The owner or manager approves or declines it. Approved leave shows in the diary, so nobody books patients with a physio who is away, and repeat bookings never land in someone's time off.

Leave balances

Leave balances build up from each person's employment terms, so everyone can see what they have left. Casual staff and contractors do not build up leave, which is deliberate: a balance shown against a contractor is a number someone may one day ask to be paid out.

Timesheets ready for salary

At the end of the month, timesheets show each person's hours, ready for salary or for your CA. Managers approve them, so what goes to payroll has been checked.

Who can see and do what

Every person has one login and a role. There are six roles, with more than fifty permissions, and the server checks every one of them. A receptionist can book, bill and take payments but can never open clinical notes. A physio sees the diary and writes notes. An owner can do everything. Read more in patient data security and the DPDP Act.

When someone's role changes, they are signed out so the change takes effect immediately. When someone leaves, archive their login. Every note they signed and every payment they took stays linked to their name.

Pricing that suits a team

Clinidiary charges ₹300 a month for each physiotherapist after six free months. Receptionists, managers, accounts staff and owners are free, so adding a front desk person costs nothing.

Staff across branches

If your team works across branches, one login covers the whole practice. See multi-branch physiotherapy clinic software. Each physio's numbers are in clinic reports.
