Why WhatsApp works better than text messages or calls in India
- Patients read it. Ordinary text messages get lost among bank and delivery messages. A WhatsApp from the clinic they know gets read.
- Patients reply. "Can I come at 6 instead?" comes back on the same chat, and your front desk can rebook straight away.
- It costs nothing per message when it is sent from your clinic's own WhatsApp.
- It saves phone calls. Calling twenty patients takes an hour. Sending twenty reminders takes a few minutes.
How it works in Clinidiary
Every morning, the front desk opens Communication → WhatsApp and picks the day, usually tomorrow. Clinidiary lists every patient booked that day, with the reminder already written for each one: their name, the time, the physio and the branch.
Next to each patient is an Open WhatsApp button. One tap opens WhatsApp on that computer or phone with the patient's number and the message already filled in. The receptionist presses send, comes back to the list, and moves to the next patient. The list keeps count: how many are left to send, how many are done, and which ones cannot be sent and why, for example a patient with no mobile number on file.

From your clinic's own number
The message goes from whichever WhatsApp the clinic computer or phone is signed into. Sign in as the clinic, and patients hear from the number they already know and have saved. There is no third-party sender, no Business API account to pay for, and nothing that puts your number at risk of being blocked.
The same words every time
The reminder wording comes from your clinic's reminder template, so every patient gets the same clear, polite message. A typical one reads: "Namaste Sunita, a reminder of your visit tomorrow at 9:00 with Asha at our Satellite clinic. Please reply if you need to change the time." You can change the template to suit your clinic's tone.
Email reminders go automatically
Patients who prefer email get their reminder by email, sent automatically before their appointment. You choose how far ahead, whether they all go together at a set time, and which appointments get a reminder. Nothing is ever sent between 8 pm and 8 am, and nobody is reminded twice about the same appointment.
Tips for a busy front desk
- Send at the same time every day. Late morning works well for the next day, once the morning rush is over.
- Send to the person who comes. For an elderly patient, put the son or daughter's mobile on the file if they bring them.
- Work the replies. When a patient says they cannot come, cancel with a reason and offer the slot from your waiting list.
- Mark no-shows properly. A patient who did not come is Did not attend, not Cancelled. Your reports depend on it. See how to reduce no-shows.
- Rebook before they leave. A patient with the next visit already in the diary needs only a reminder, not a follow-up call.
More than reminders
WhatsApp is how Indian patients like to deal with their clinic, so Clinidiary uses it in other places too:
- Bills on WhatsApp. Share a bill as a link that the patient can open, download and forward to their insurer. See GST billing for physiotherapy clinics.
- Forms before the first visit. Send an intake form link so the patient fills in their history at home. See patient intake forms.
- Every message on the patient's file. Reminders and messages are kept on the record, so anyone at the desk can see what was sent.
Frequently asked questions
Can physiotherapy software send WhatsApp reminders in India?
Yes. Clinidiary writes each day's WhatsApp reminders for you, and one tap opens WhatsApp with the message ready to send from your clinic's own number.
Is there a charge per WhatsApp message?
No. The reminders are sent from your clinic's own WhatsApp, so there is no per-message cost from Clinidiary or from a messaging provider.
Do I need a WhatsApp Business API account?
No. Any WhatsApp account works, including WhatsApp Business on the clinic phone. Sign in as the clinic so patients see your clinic's number.
Are the reminders automatic?
Email reminders are automatic. WhatsApp reminders are prepared automatically and sent with one tap each, which keeps them coming from your own number with no risk to it. Twenty patients take a few minutes.
What should a physio appointment reminder say?
Keep it short: the patient's name, the day and time, the physio's name, the branch, and how to change the time. Clinidiary's template does this for you.
